When is the Best Time to Send a Thank You?

You know how important it is to send a thank you note for business, but some people wonder how soon you need to send it. Often you may feel that if you don’t send it out right away, it’s too late and then you’ve lost the chance. I’m here to tell you that it doesn’t matter when you send it out, it just matters that you send it out.


Strategically, timing a thank you note to send out later can sometimes be a good thing. I’ve talked to and worked with a number of business people who don’t get to their thank you notes right away.  They may send a note or thank you gift months after working with a client.  Sometimes doing it later reminds the client of you and ends up bringing new business to you. Even though you might feel guilty for sending it out later, it can actually work to bring you repeat business.


You shouldn’t send a thank you note with the intent to get more business. Your clients will feel your ulterior motives and be turned away.  Sending a thank you with sincerity and authenticity will be well received from your clients.  It won’t always result in new business, but it will set you apart and put you top of mind with former clients.


When you time a business thank you strategically, the recipient may have another project they would like your help with. You need to think about your industry, your business. Think about what you do and think about the best time for you to send out your thank you notes. If you send a thank you note immediately following the project you just did, they’re not ready to hire you again because they’ve just finished.


Always appreciate your clients in some way whether a thank you note or a thank you gift. Don’t feel terrible about it if it doesn’t go out right away. You’re busy doing a lot of other things, and sometimes timing it for later will bring a better result. Sending a thank you note or gift is the right thing to do, but it can also be a great marketing strategy to increase your business.
